Administrative Permission Required

Administrative permission is required to access the portal settings. For more information, contact your supplier's point of contact.

Overview

The portal App Connector is a valuable tool that enables content to be directly delivered into the systems you work in now, saving time, making training easier, and eliminating the need to learn new processes.

Connecting your partner portal with HubSpot will push selected available supplier templates into your HubSpot instance. You can email and market just as you currently do with HubSpot.

Once the posts push to HubSpot, they cannot be canceled or retrieved. If you need to delete any posts associated with portal > HubSpot stream, you can go to HubSpot and delete them.

Reporting is available on the marketing tactics leveraged through your portal App Connection.

  • Social metrics (Clicks, Likes, Shares, Retweets, Replies, and Comments will show under the Social Analysis page in the portal.

Before you Begin

You must be using a version of HubSpot (Professional or higher) that supports third-party integrations and the marketing feature.

You may see an error message if your account does not support third-party integrations:

Important

Portal App Connectors do not currently support the management of Campaign Social Posts. If you want to leverage a campaign that contains social posts, you must turn off your App Connection for the duration of the campaign. Make sure to personalize your portal Social Media Settings if you are choosing this option. For more information about Campaign Social Posts, see Campaign Social Posts.

Setting up HubSpot

Step 1: Retrieve ID from HubSpot

  1. Log into HubSpot.
  2. Copy the number ID at the end of the URL, excluding all non-numeric characters.

Step 2: Connecting HubSpot to your partner portal

  1. In your partner portal, navigate to portal_settings_icon.png > Settings.
  2. Go to App Connectors in the left sidebar.
  3. In the HubSpot area, click Activate.

  4. Paste in your HubSpot ID.
  5. Click Activate.
  6. Authorize access to HubSpot. The connection is shown as On.
  7. Use the Social Settings and Email Settings options to configure your integration with HubSpot.

Sending Emails to HubSpot

  1. Navigate to the Browse Campaigns page in your partner portal.
  2. Click the name of the campaign that includes the email(s) you want to send, to open it in the dashboard.
  3. In Mailings, highlight the email you want to send to HubSpot.
  4. Click HubSpot.

  5. In the HubSpot pop-up, confirm the emails you want to send, by checking/unchecking the box next to each one.
  6. Click Send to HubSpot.

Emails with Customizable Content

If you're sending campaign emails that include links to customizable content, such as microsites/plugins or co-brandable media, you may find that the customization/personalization option isn't available when the email is received into Hubspot. To ensure the content can be customized as planned, follow these steps:

  1. Publish the email to HubSpot as usual - see the Sending Emails to HubSpot section of this article for information.
  2. In the Browse Campaigns page of your partner portal, access the original campaign and deselect the email that contains a link to the customizable content item from it. Leave the customizable content item selected.
  3. Personalize the content item (microsite/plugin, co-brandable PDF, etc.) from the campaign. This will make a URL or link to the published/personalized content available for it. Copy the URL.
  4. Log in to HubSpot.
  5. In HubSpot, access the email that contains the customizable content item - see the Finding Email Templates in HubSpot section of this article for information.
  6. Open the email and update the link to the customizable content, entering the URL generated in step 3.
  7. Schedule and send the email as usual.

Finding Email Templates in HubSpot

  1. Log into HubSpot.
  2. From Marketing > Email, select Create email.
  3. Locate the template you sent from your partner portal - this will likely be in the Custom tab of the Templates area.

You can now create an email from the template, and personalize, schedule, and send it.

Sending Social Content to HubSpot

  1. In your partner portal, navigate to portal_settings_icon.png > Settings.
  2. Go to App Connectors in the left sidebar.
  3. In the HubSpot area, click Social Settings.
  4. Select the content to send to HubSpot. 

Finding Social Content in HubSpot

  1. Log into HubSpot.
  2. Go to Marketing > Social.
  3. Click Scheduled. All scheduled posts will display with the scheduled date.
  4. Check this area often to be aware of social posts.
