This feature is not available to all users. Please contact your partner portal team, and the supplier that manages the portal, to have it enabled.

Overview

The Funnels feature sets up an additional CRM integration in the partner portal that automates your Deal Registration, Lead Registration, and/or Lead Distribution processes with your supplier. By setting up this integration, you and your team can:

  • Reduce time spent on manual data entry
  • Work on a platform you and your team already know well
  • Prevent duplicate work caused by having to register a Deal and/or Lead in both your partner portal account and CRM software

Funnels allow you to sync your Deals, Leads or Sales Reps between your CRM and your partner portal by creating a separate Funnel for each. These types of Funnel are available:

  • Deal Registration - from your CRM to your partner portal

    This funnel type pulls deals from your CRM and automatically registers them with your supplier. It can also pass the deal status back to your CRM (optional).

  • Lead Registration - to your supplier

    This funnel type pulls leads from your CRM and automatically registers them with your supplier. It can also feed leads distributed to you by your supplier into your CRM (optional).

  • Lead Distribution - from your supplier into your CRM

    This type of funnel pushes your distributed leads from your partner portal to your CRM (you define the criteria they must meet to be included).

  • Sales Reps - from your CRM to your partner portal

    This type of funnel pulls Sales Reps from your CRM.

The Funnels feature supports integration with these CRMs:

  • Salesforce
  • MS Dynamics
  • HubSpot

Funnels sync data every 2 hours.

Before You Begin

Ensure that you have the Administrator role for your partner portal - only Administrators are permitted to manage funnels.

Have the required credentials for your chosen CRM to hand. You'll need this information:

  • Salesforce
    • Username
    • Password
    • Login Domain
    • Security Key
  • MS Dynamics
    • Client ID
    • Client Secret
    • Organization
    • Tenant ID
  • HubSpot
    • Security Token or App Access Token

Make sure you understand the fields available in your CRM account setup.

Determine which type of Funnel you want to set up - Deal Registration, Lead Registration, Lead Distribution or Sales Rep sync.

Set up a Data Funnel

Once you have completed the prerequisites for a Funnel, follow the steps below to create a new one:

Important Note

If you are not able to complete all of the steps in one sitting, when you return to the set-up at a later date you may need to re-enter your CRM credentials again in Step 1: Connect before proceeding to the next steps. 

  1. Navigate to portal_settings_icon.png > Settings.
  2. Select Funnels in the left-hand sidebar.
  3. Click Create new Funnel.
  4. Follow the multi-step process to set up your Funnel.

    Note: Once you've selected a CRM and added credentials, you can click the Test Connection button at any point during the process to ensure your selected CRM remains connected.

Important

Salesforce requires non-API users to enable multi-factor authentication (MFA). We recommend creating and using a SalesForce API user to ensure there are no interruptions in your Salesforce integration. To learn more, visit the Salesforce Knowledge Base.

  1. In the Select Your CRM field, choose the CRM - Salesforce, MS Dynamics, or Hubspot.
  2. Enter the credentials for your CRM account.
  3. Click Next.

2. Select Funnel Type

  1. Select your Funnel Type
    • Deal Registration
    • Lead Registration
    • Lead Distribution
    • Sync Sales Reps
  2. Select your CRM Object Type

    Select the type of object in the CRM that will be sent or get updated, for example Opportunity. The Object Type based on your Funnel Type Selection field shows the corresponding data item in your portal records, with an arrow showing the direction of data transfer (based on the Funnel Type you selected)

    If setting up a Sync Sales Reps funnel, choose Users.

  3. Click Next.

3. Map Fields

  1. Match the fields necessary to create a Deal, Lead or Sales Rep in your partner portal with fields from your CRM.
    • The first column, Field in your CRM, displays the fields from your CRM.
    • The second column shows if the field is Required or Optional and displays arrows that tell you whether the field is inbound or outbound.

      Inbound fields ( icon_right_arrow.png) are the fields in the CRM object that will be passed into the object in your partner portal.

      Outbound fields (icon_left_arrow.png) are the fields in the CRM object that will get updated with information from the partner portal.

    • The third column, Object Field, displays the fields from the object in your partner portal.
    • Review the fields and make the mappings as required. Ensure that all Required fields have a mapping. Note: Many fields are automatically matched from your CRM into your partner portal. 
    • Select a field from the drop down list or check the Use default value instead option and manually enter a field name.
    • Important

      If the Object Field has possible values and the incoming field from your CRM doesn't match one of those values, that field will be skipped (but the object will import into this system). If the field is outgoing, this will result in an error and the sync for that item will fail.

  2. Click Next.

4. Filter

Add optional data filters for any of the fields coming from your CRM. For example, you may only want to bring over any deals over a certain $ amount or only leads from a specific country.

  1. Apply Filter
    1. Click Add Filter Condition.
    2. In the dropdown that appears, select the Field in your CRM that you'd like filter against.
    3. Define the condition using these options:
      • Equals
      • Does Not Equal
      • Contains
      • Does Not Contain
    4. Enter the Filter Value.

      For example, Billing Country (Field in your CRM) Equals United States (Filter Value)

  2. The Preview of the object type you selected will show you the records that match the filter condition(s) you specified above. If nothing is shown, check the condition you've set to make sure it is correct.
  3. To remove an existing filter, click the trashcan icon icon_delete.png next to it in the list.
  4. Click Next.

5. Review

  1. Review the settings you've made and confirm if they've been successful. A green tick shows for each step that's been completed correctly.
  2. The Pull data created/updated since date defaults to the date that the funnel was created. The funnel will pull in any items created in the CRM after that date. If you want to bring in existing data created or updated earlier, change the pull date by clicking Change and picking an earlier date.
  3. Click Activate to start the automation process. 

6. Complete

This step confirms that your Funnel setup is complete. Note that the label next to the title shows Running.

You can pause or resume the Funnel at any time.

View Logs for a Funnel

Logs help the Administrator monitor the status of a Funnel and the results from its data sync (successful updates or errors).

Funnels run every 2 hours.

Navigate to portal_settings_icon.png > Settings > Funnels and click View Logs to see the most recent import and export logs.

View Import Logs shows you which Deals/Leads/Sales Reps were created from the run (depending on the type of funnel).

View Export Logs shows you which data was exported to your CRM from the run.

Pause and Resume a Data Funnel

To pause an active Data Funnel:

  1. Navigate to portal_settings_icon.png >Settings > Funnels.
  2. Click the Integration name or the Funnel Type for the desired Funnel, to open its details.
  3. Click Pause.

    Your Funnel and its data transfer will be paused until you resume the connection.

To resume a paused Data Funnel:

  1. Navigate to portal_settings_icon.png > Settings > Funnels.
  2. Click the Integration name or the Funnel Type for the desired Funnel, to open its details.
  3. You will be returned to Step 1 of the Set Up a Deal/Lead Funnel process. Re-enter the credentials for your specified CRM, as required, and click Next.
  4. Review/edit steps 2-5 of the Set Up a Deal/Lead Funnel process, as required, to verify the Funnel settings. 
  5. Click Activate on Step 5 to trigger an immediate sync, after which the Funnel will continue as usual.
