07 Dec - Updates to Lead Registration and some Forms

Email validation for Lead Registration

It's now possible for your supplier to implement restrictions to Lead Registration that blocks users from registering their own email, or emails of their colleagues, as leads or contacts.

If they've implemented the control, you'll see this message when registering a lead/contact based on your own email domain: Cannot use your own email domain.

Permissions for custom supplier forms

We've added permissions to Custom Objects (custom information types), so your supplier can control how your users interact with submissions of custom information.

Users will have one of these access levels:

  • Create and Edit - full permission, users can create, edit and view custom information
  • Edit only - users can edit and view
  • View only

You may see that the Create or Edit options are removed from some of your forms.

30 Nov - Updates to Web Plugins and Email personalization

Standalone URL for Web Plugins

Your supplier can now provide a standalone URL to website plugins. If enabled, your users can pick up the URL when they're personalizing/publishing a plugin. They can then link the plugin directly from a web page, or from marketing content such as emails or social posts.

Resize Image option removed from email personalization in portal

We've removed the option to resize images when personalizing an email on the portal. We removed it as it was not having an effect - the email templates we create use a fixed width.

This applies to older legacy style emails only, not those that are personalized using the embedded BeeFree editor:

23 Nov - Update to Deals

Supplier-configurable Deals display

Your supplier now has the option to specify what information they want displayed for deals. You may see that your deal records look different, if they decide to update them.

Here, the supplier has included some additional information in a deal record - Currency and Sales Rep.

02 Nov - Update to customizable Multimedia and Email Authentication

Expandable text fields in Multimedia personalization

When your users are customizing PDFs provided by your supplier, sometimes the fields they're editing need a long entry. They can now expand text fields so they can enter the text they need, and see what they've written. Clicking the Edit icon icon_edit_black.png presents the field in a popup window.

Missing/failed SPF check no longer blocks a From email address

We always recommend that suppliers and partners authenticate their From email address with SPF/DKIM/DMARC protocols to ensure that emails are not classed as spam by email providers. Sometimes this is not possible due to internal corporate processes - with this release, SPF authentication is now recommended, not required.

Note

We do advocate the inclusion of SPF entries if it is possible to do so.

19 Oct - icon_new.png 2-Factor Authentication (2FA) for login

We’ve introduced a 2-Factor Authentication (2FA) option for our partner portals. If the option is enabled by your supplier, a user logging in to the portal will receive a One-Time Passcode (OTP) by email when they’ve successfully entered their username and password. They can then enter this code to verify their identity and continue with login.

If they check the Remember me on this device option, the code, once successfully used, will remain valid. The user won’t need to authenticate again.

12 Oct - Update to Collateral

Tracking of asset downloads from Copy to Clipboard links

Downloads of collateral assets that your users distribute from the portal Collateral Library via the Copy Link to Clipboard action are now tracked for reporting by your supplier.

14 Sep - icon_new.png PDF Deal Quotes

Your users may now see the option to download PDF quotes from a deal. If your supplier's enabled it, the feature uses the information in the deal to generate a quote in PDF format.

When your users are viewing a deal in the portal, they can click Download Quote - this may be enabled for all deals, or certain deal types, depending on your supplier's preference. 

If enabled, the Download Quote option will be available for deals that have a linked account.

14 Sep - Update to Deal Registration

Stop Deals being registered with past date

We've introduced the option for suppliers to prevent partners from setting an Estimated Close Date that's in the past when registering a deal.

If your supplier's implemented the restriction, users will see a warning if they try to add a past date.

07 Sep - Update to MDF Transactions

Export a list of MDF Transactions

Your users now have the option to export a list of their MDF transactions (pre-approvals and claims) from the portal.

They can click the Export button on the Marketing Transactions page, to generate and download a CSV file.

31 Aug - Updates to Leads and Deals pages

Supplier Status information for Registered Leads

We've made it easier for your users to view the supplier registration/approval status of their registered leads in the portal:

  • A new Supplier Status filter is available on the Registered Leads page:

  • Supplier Status values are color coded to give an instant visual indicator:

    Red for Rejected and Expired, green for Accepted, and orange for Pending.

    • In the Status column on the Registered Leads page (when enabled by clicking on it on Sort by)

Sales Rep filter for Deals

Your partners can now filter their deals by assigned sales rep - we've added a new Sales Rep filter to the Deals page:

The dropdown selection list shows sales reps that have deals assigned to them.

24 Aug - Updates to App Connector support

Deprecation of Hootsuite and Pardot support

Due to low/no usage of the apps, we no longer offer Hootsuite and Pardot as App Connectors on the portal.

Integration with HubSpot is still supported.

18 Aug - Updates to Emails and Landing Pages

We’ve introduced new style marketing content (emails and landing pages), which your supplier can provide to you. With these new types of content, suppliers have much more control over both the design of the content, and the opportunities they can give you to personalize that content.

You may see some differences in the personalization step of new marketing content, when compared to your existing content. You still access, activate, edit, and schedule the marketing content in the same way.

This is the view you’re used to:

This is the new style Personalization page - you access it by clicking the new Edit button in the tab:

You’ll note these changes:

  • A WYSIWYG Page Editor is provided, powered by BeeFree. You can use this editor to add/update global page styling, rows, and individual content blocks to the item. For more information about the available options, see Content/Formatting/Display Options for Marketing and Comms Content
  • You can update a logo
  • You can use merge tags in an email, to add placeholders for contact data
  • Your supplier may have locked some areas of the content, so you can’t edit it
  • If your supplier has provided landing and confirmation pages with your email, you can access them from the email and edit/personalize them too - this includes any contact form included

17 Aug - Updates to AI Expert and Leads pages

Updated feedback mechanism for the AI Expert

We've updated the feedback options for AI-generated responses from your AI Expert. You can already give a thumbs up / thumbs down reaction - now, if you're giving negative feedback, you can provide a reason by choosing a category and adding more information in a free text field (up to 500 characters).

Improved visibility of Suggested Prompts for AI Expert

If your supplier has provided Suggested Prompts for you in the AI Expert chat, they may be truncated if they're long. You can now hover over a prompt and see the full text.

Updated Lead handling in portal

We've made some changes to lead display and handling, to help your users easily find and work on their current, active leads:

  • If supplier has rejected a lead, or it's expired, the user no longer sees buttons to update it, assign it, or create a deal

  • We've added a new Status column to the Registered Leads listing, so users can sort their list

  • The Lead Stage filter in the Leads listing pages now filters out qualified and unqualified leads as a default

06 Aug - Updated UI for MDF Transactions

Some suppliers provide Marketing Development Fund (MDF) support to their partners, to give financial assistance to their marketing efforts on the supplier’s behalf. If you're working with MDF, you can already submit MDF pre-approval requests and claims from your partner portal - it may look different now, after a refresh and the addition of some new options.

If your supplier has enabled MDF for you, you may see these changes:

  • Wallet icon wallet_icon.png in your portal toolbar

    Clicking the icon takes you to your Marketing Transactions page, where you can create and progress your MDF pre-approvals and claims.

  • Quick visibility of Pre-approval and Approved amounts for your transactions

  • The pre-approval/claim submission form in one of two formats, depending on supplier preference:
    • A full page option

    • A popup window

  • Your supplier decides if attachments are required before you can submit a pre-approval or claim, and the types that they’ll accept. The submission page will give you guidance:

03 Aug - Update to AI Expert

Auto-generated conversation title in Portal AI Expert

We've made a usability improvement to the Portal AI Expert - now, when a user starts a new conversation with the Expert, it generates a logical title for the conversation based on the first prompt. This makes it much easier for your users to navigate their list of their existing conversations later.

20 Jul - Updates to Leads

New Status Change form for Leads

You may notice a difference when you update the Lead Stage for your leads in the partner portal. We've introduced a new form for the Update Stage action, and your supplier has the option to customize the form to collect additional information from you. If they have customized the form, you will see some additional fields when you change the stage:

Filtering on custom fields for Distributed Leads

We've added filters based on your supplier's specific contact fields to the Distributed Leads listing page. The additional filters will help your users to quickly find their leads.

Note: custom contact fields you've set up yourself won't be shown as filters.

Reminder: SPF/DKIM validation for email addresses

We strongly recommend that your administrator authenticates your email domain with SPF, DKIM, and DMARC via your DNS provider, to ensure your marketing emails are safely received and read by their recipients.

We've added a note to the Company Profile area of the partner portal to remind users of the importance of this configuration. The message includes a link to the instructions in our academy.

13 Jul - Update to Leads and Contacts

Rename of Lead Status to Lead Stage

We've renamed the lead field Lead Status to Lead Stage in this release. You'll see this when you update your leads in the partner portal:

Filtering on custom fields for Contacts

We've added filters based on your supplier's specific contact fields to the Contacts listing page. The additional filter will help your users to quickly find their contacts.

Note: custom contact fields you've set up yourself won't be shown as filters.

Updated custom field filters for Leads

We've updated the filtering we provide in the Registered Leads pages in your partner portal. Now, the filters based on custom Lead fields only show those fields that are included in the Register Lead and Add Contact forms. Previously, all configured custom fields were shown as filters.

This new filtering applies to these pages:

  • All Leads
  • Registered Leads

08 Jul - icon_new.png AI Expert 2.0

The AI support that your supplier provides for you in your portal has had an upgrade - a fresh new look and some exciting new features!

After clicking the AI icon in the toolbar, the AI Expert pops out in a fly-out window, meaning users can easily view conversations while working in the portal. Previously it was a full page view, which obscured the active portal page.

The Expert provides these areas:

  • The supplier's suggested prompts are shown at the bottom of the window. The user can use them if required.
  • Your Message field at the bottom of the window - enter a prompt and click the up arrow for a response.
  • portal_ai_expert_2.0_previous_conversations.png Get a list of the 10 most recent conversations, and rejoin one if required
  • portal_ai_expert_2.0_start_conversation.png Start a new conversation

When a user’s been chatting with the Expert, they can interact with its responses. They can use these actions:

08 Jul - icon_new.png AI-Generated Marketing Content

We’ve introduced AI support for users who want to create their own marketing content in their supplier portal. They can now ask their portal AI Expert to generate emails and social posts for them, basing the content on collateral assets your supplier has provided, or on responses in conversations they’re having with the Expert.

If your supplier has enabled AI support, and Create Your Own (CYO) content, in your partner portal, your users will see these new options:

Creating Emails / Social Posts from collateral assets

A user can click on the AI sparkle icon and use any of these actions when viewing collateral in their Browse Collateral page. Each action launches a new conversation with the AI Expert, prompting it to carry out a specific task.

The user can click on the icon for a single asset, or after highlighting multiple assets in the page.

Ask about this asset - asks the AI Expert to summarize the key points covered in the content (name, description, source, effective dates, creator name, etc.)

Create social post - asks the AI Expert to create social post content from the asset’s content, with relevant hashtags and CTA. The user can then use the Create Social Media Post option to generate, personalise, and schedule the post.

Create email - asks the AI Expert to create email subject line and body content from the asset’s content. The user then has two options for generating the email itself:

  • Create Simple Email - creates a campaign with a text-based email
  • Create Email using Template - creates a campaign with an email that is based on one of a set of pre-loaded templates. The user can also ask AI to also generate the template for them, if required.

Creating Emails / Social Posts from AI Expert responses

When a user has been chatting to the portal AI Expert, they can use these new actions to create a social post or email from the content of the response.

Both actions continue the conversation with the AI Expert, giving it a prompt to create engaging content from the information it’s already presented.

08 Jul - icon_new.png AI-Generated Images in Email Templates

We’ve introduced the option for AI to generate images when it creates marketing emails on your behalf.  AI can assist you by producing a template with an autogenerated image when you use the Create Email using Template option for an AI-generated email.

Note

If your supplier hasn't permitted AI to generate images, the Create for me action will create an email template without an image. Reach out to your supplier point of contact to clarify your options.

06 Jul - Update to Deals page

Updated Account filter for Deals listing in portal

We've made an update to the Deals listing for users who work with customer accounts. The Account filter for the listing now only lists accounts for which the user has deals. Previously, it showed all the accounts to which the user has access, which made it less useful in this context.

22 Jun - Update to Library Posts page

Social Posts Library available without a connected social account

If your supplier provides a library of evergreen social posts in your portal, all your users can now see them, even if they don't have a connected social account (shared/company or personal) yet. This will enable users to access supplier-provided social content, and encourage them to get connected and start posting.

01 Jun - Updates to Training (LMS) pages

New Training Content pages

We’ve introduced two new feature pages that allow suppliers to display training (LMS) modules and courses to their partners. You may see one or both of these in your portal, if your supplier has enabled them for you:

  • Training Content

    Shows all Courses and Modules that are available to a user.

    The page includes filters based on content tags to help your users find what they need.

  • My Training

    Shows a user their progress across the courses and modules they’ve selected.

    The page is split into three areas:

    • Courses in progress
    • Viewing history - for completed modules
    • Course completions

27 May - Updates to portal, Leads, and Company Profile

Save View and Sort option when viewing feature pages in portal

Your users can now preserve the view or sorting they've applied to feature pages in their partner portal. They can click the Save View and Sort configuration button icon_save_view_config.png in the Campaigns, Collateral, Marketing Activities, Contacts, Deals, and Leads pages.

The next time they navigate to a page after applying the save, the page will be arranged in the same way.

Users can include attachments on Registered Leads

We've added the option for your users to upload attachments to leads they're registering in the partner portal.

They can include one or more files when creating or editing a registered lead:

Access to Support when logged out of portal

Your supplier may now allow your users to raise a Support ticket from the partner portal, before they've logged in. If enabled, your users will be able to submit a ticket with their email address, and specify additional recipients of notifications about the ticket.

Editable partner name in Company Profile

We've made a change to ensure that changes to your organization's name can be managed by you in your partner portal, for example to incorporate a name change, or to differentiate between the supplier's name for your organization, and your own name for it. In your Company Profile, the Company Name field is editable and will be maintained as the partner-facing name. Your supplier can update this name too.

18 May - Update to Social Media settings

Updated Manage Social Feed settings

We've updated the Social Media settings page in your partner portal, to make configuring your social feed more intuitive. The labels in the page now better indicate how to subscribe to social topics and specify the level of approval you want for posts that are tagged for the topics:

  • Require approval before posting
  • Auto-publish

11 May - Update to AI Expert

New AI model

We've updated the AI model that powers the AI Expert in your portal (if enabled by your supplier). We've moved from Claude Sonnet 3.5 to Amazon Nova Pro (Multimodal model).

With the update, you'll see improved responses from the Expert - faster, better formatted, and more relevant. For information about our AI support, see these articles and FAQs:

04 May - Update to Leads and Deals

Lead data copied when converting a Lead to a Deal

We've introduced the ability to have data copied over from a lead when one of your users converts the lead into a deal. This will provide a set of default values in the New Deal form, which can significantly reduce your users' overhead.

If your supplier has set up the lead-deal mapping, the New Deal form from a lead will show the copied data in the fields they've specified. Here, the supplier has set up these field mappings:

  • Email address (lead) > Referral Contact (deal)
  • Communication Status (lead) > Description (deal)

The Referral Contact and Description fields are auto-populated when a user create a deal from the lead:

27 Apr - Update to Leads

Addition of Sales Rep identifier for Lead Owner

It may be the case that your portal account has a portal user and a Sales Rep user with the same email address - for example if a CRM integration adds a user, but you add the user as one of your Sales Reps. This can cause confusion when assigning leads, and lead to the Sales Rep not seeing their assigned leads.

To mitigate this, ZiftONE now includes confirmation when a lead owner is a Sales Rep user:

22 Apr - icon_info_doc_black.png New From Address for Reports and Dashboards

We've changed the From address that sends some reports and dashboards by email. 

The new sender address is: reports@unifyr.com

Previously, the emails were distributed from reports@ziftsolutions.com. 

If your users already whitelist the old address, we recommend that you advise them to update their list to include the new one.

06 Apr - Update to Training pages, and AI Expert

Content filters for Courses/Certifications pages

We’ve introduced tagging for learning/training content. Your supplier can create tags and apply them to the courses and certifications they make available to you in your partner portal. With tags, your supplier can categorize their learning content and make it easier for your users to find that content.

You may see some new filters in the Courses or Certifications pages of your partner portal if your supplier is using tags for the content. You can use the filters to help you find the content you need.

Translation of learning content

We’ve introduced the option for suppliers to translate their learning/training content into multiple languages.

If the supplier has translated their courses and certifications, your users may see the translated information when they log into their training pages.

If their profile language is set to one that has translated content, the courses/certifications will display in that language:

If the user’s language doesn’t match one with translated content, the courses/certifications will be displayed in English.

Suggested prompts for AI Expert

If your supplier has enabled the AI Expert in your partner portal, they now may suggest prompts for you to use when initiating conversations with the Expert. The suggestions can help you use the AI Expert effectively, or guide you to content that your supplier recommends.

If suggested prompts are available, you'll see them when you start a new conversation with the AI Expert.

You can click a prompt to use it, and have the option to tweak the prompt before initiating the conversation with the Expert. Or you can carry on with your own prompts as usual.

09 Mar - Update to AI Expert

Feedback on responses from AI Expert

We've added thumbs up / thumbs down indicators for responses generated by the AI Expert in your partner portal. You can give feedback about the response the Expert has given to your prompt.

03 Mar - Updates to Deals and Leads

Request New Account now optional for deal registration

Targeting customer accounts? Your supplier can now specify whether their partners are permitted to request a new account when they register a deal in the partner portal. Previously this option was always available - now it depends on your supplier's preference.

Your deal forms may include a Request New Account link, depending on how your supplier has set them up.

If the link isn't present, you can select from the accounts your supplier has made available.

Sales Reps can qualify leads without a deal or opportunity

It's now possible for Sales Reps to set leads to Qualified without needing to link a deal or opportunity. Previously, this was only available to logged in partner users but now Sales Reps can do the qualification in their leads page.

Note

Contact your supplier if you are interested in working in this way - they decide whether it's supported for their partners.

Lead Status changes in lead timeline

We've update the timeline of leads to include entries for status changes you've made.

23 Feb - Update to AI Expert

AI Expert has access to courses and partner events

We've updated the list of content types accessible to the AI Expert that your supplier can make available in your partner portal. Courses and partner events are now included. When the Expert gets its information for a response from these types of content, it can return them as citations for the source of the response, and give the user a link.

16 Feb - Update to AI Expert

Content links in portal AI Expert responses

We've made a usability improvement to the AI Expert that your supplier can make available in your partner portal. The Expert, when providing responses, includes citations/sources for its information, and links to applicable content such as collateral assets. You can now access the content without leaving the chat - links to content include an open icon icon_open_in_new_tab.png, and clicking the icon will open the content in a new browser tab.

09 Feb - Update to Distributed Leads page

Lead Status filter for Distributed Leads portal page

We've added an extra filter to the Distributed Leads page in your partner portal, so your users can refine their list of leads by Lead Status. This will help them identify which leads they need to work on.

12 Jan - Update to Marketing Emails

Updated Unsubscribe action for marketing emails

We've added an extra step to the unsubscribe process for marketing emails you send to your contacts. Recipients must now click a button on the Unsubscribe page to confirm their choice.

We've made this change so that email preferences don't get accidentally changed by automated spam filters.
